We will never share your personal data with third-party services or use it for any purpose other than that described in this policy and throughout our website. This policy explains how we collect and use your data and comply with the GDPR (General Data Protection Regulation), the DPA (Data Protection Act) and the PECR (Privacy and Electronic Communications Regulations). Project Initiative and its website complies to the DPA (Data Protection Act 1998) and already complies to the GDPR (General Data Protection Regulation) which comes into effect from 25th May 2018. We will update this policy accordingly after the completion of the UK’s exit from the European Union.

Visiting Website

When someone visits, we use a third-party service, Google Analytics, to collect standard internet log information and details of visitor behaviour patterns. We do this to find out things such as the number of visitors to the various parts of the site. This information is only processed in a way which does not identify anyone. We do not make, and do not allow Google to make, any attempt to find out the identities of those visiting our website.

Signing up to Newsletter

When you sign up to our services, your email address will be added to a mailing list managed by Hubspot, a third-party provider used to deliver the newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see Hubspot’s privacy notice. When you contact us we will store the specific data you have submitted (name, email address and optional phone number) on our server until such time that the entry has been reviewed and responded to. Course Booking

When you book a course with Project Initiative we will collect the following data from you:
  • First and Last Name
  • Email Address
  • Phone Number
  • Company
  • Name/Employer
  • Contact Address (Including Postcode)
  • Gender
  • Date of Birth
This information will be stored on our secure online booking platform. This information will then be securely imported to our CRM system Hubspot.

Attending Regulated Courses

When attending a QCF or RQF regulated qualification we are required to share your personal information with the relevant awarding body. You will asked to provide the following
    information on a form:
  • First and Last Name
  • Date of Birth
  • Gender
  • Home Address
  • Town
  • Postcode
  • Phone Number/Mobile
  • Email
  • Ethnicity
This form is stored securely in a locked cabinet in our main office and only accessible by members of staff approved and trained to access and process sensitive data. This information will then be used in the following ways:
  • Your First and Last Name, Gender, Date of Birth and Postcode will be entered onto the Learning Record Service secure online portal. This will be to locate your Unique Learner Number. If you do not have a Unique Learner Number then we will create one through this portal.
  • All the above information will be entered onto secure online portal. This is to register you with the awarding body for the qualification you are completing.
  • The form containing your information will be sent via recorded delivery to the relevant awarding body. We work with the three following awarding bodies:
  • TQUK
  • NCFE
Each awarding body has its own privacy policy available to read on their website. By booking a place on a regulated course you are giving your permission for your data to be used in this way.


Any payments for courses carried out either by telephone or online, will be processed through Xero’s secure online platform. This data is then securely transmitted to our selected third-party payment gateway, Stripe. Project Initiative does not store any information relating to Card details. Xero and Stripe’s privacy policies can be viewed on their respective websites. We will retain personal data we process on behalf of our customers for as long as needed to provide our services. Project Initiative will retain this personal information as necessary to comply with our legal obligations, resolve disputes and enforce our agreements. You are entitled to access the personal information that we hold, as well as request its deletion at any time.
